Select your seminar dates. Three dates (a minimum of two) are recommended for a 5,000 piece mailing. Tuesday and Thursday are best. Avoid Saturdays. It is wise to have a contingency plan for adding an additional evening to handle any overflow. In the case of inclement weather (snow storms, ice, hurricanes), build in the flexibility to move your seminar to another date. Do not hold your event near or on holidays – don’t forget about religious holidays.
- Select your seminar location(s). Restaurants providing quality meals are highly recommended. Dinners are MUCH more effective than lunches or breakfasts! SEMINARS NOT OFFERING MEALS WILL GENERATE A MUCH LOWER
RESPONSE. Choose seminar locations/restaurants where your prospects would want to go. Country clubs are a good second choice but chain restaurants like The Olive Garden or Carraba’s are much better. If you select a “budget” location, your response rates will decline. Make sure your restaurant provides ample space for your guests.
- When selecting a dinner, we suggest a start time after 5:30 p.m. Many 55+
individuals are actively working and would not be available to attend a lunch or breakfast seminar.
- Determine your target audience demographics and request mailing list counts. ALLPRO Printing needs to know the Age, Household Income and Zip Codes of the people you want to invite. The intended mailing area and the seminar location should be compatible. We can fax you a mailing list research form. Upon receipt of this form, we will provide your counts. Final count approval must be obtained prior to final production approval.
- Mail a minimum of 5,000 pieces to your target market. This will help you gain additional exposure in your market area. Don't miss the opportunity to get in front of more prospects.
- Select your seminar topic such as retirement planning, annuities, estate planning,
new tax laws, long term care, etc. Write a rough draft of your letter (or get one from your compliance office) about that topic and fax it to ALLPRO Printing at: 727.499.7999. If needed, we can provide letters from other mailings to show what other advisors are doing, which will help you with the copy and format of the mailing piece.
- We highly recommend that you apply for a Business Reply Mail permit from the U.S.P.S. Your response rates will improve because not everybody will use your toll free 800 number. It takes approximately three (3) days to get the permit number and your zip + four for the RSVP card. By having this permit, respondents can mail back the RSVP card without having to pay postage. Without the permit, they will have to apply a first class stamp and it will affect your response.
- Fill out the agreement forms for your seminar mailing and fax them back with the letter copy for the invitation. Don’t forget the Business Reply Mail information for the RSVP card. If you want to include any logo or photo pertaining to your
mailing, please keep in mind, for optimal printing images, the art supplied should be at least 300 dpi (dots per inch); and these attachments can be emailed to: art@allproprinting.com. Forms must be completed and faxed to us a minimum of 28 days prior to your first seminar date. 38 days for the West Coast.
- We will typeset the seminar invitation, tickets and RSVP card. ALLPRO Printing will return to you via email or fax within 48 hours for approval on receipt of your order forms. Please review all of the pieces carefully and fax back to ALLPRO Printing with any changes or with your signed approval on each page.
- Payment will be required 48 hours prior to the mailing date. Payment can be made by check or by credit card. We accept Visa, Master Card and American Express. Ten samples of your mailing will be sent to you via United Parcel Service shortly after the mailing.
- If your mailing is time sensitive (seminar dates or sale dates) 1st class ensures that your mail will reach its destination in a timely manner. 1st class mail is usually processed within 1-3 business days after it reaches the post office. 3rd class mail can take anywhere from 4-15 business days to reach its destination.
- If using a reservation service – ensure that they have sufficient service (24/7 preferably) and avoid recorded messages – a live voice helps your prospects feel more at ease.
